Why invoicing matters for jewellers

A professional invoice does three things: builds trust with the client, protects you legally if a dispute arises, and creates the tax record you need at year-end. Hand-written receipts on a notepad won't survive a serious customer complaint or a VAT audit.

What every jewellery invoice must include

Legal minimum (general EU/UK guidance — confirm with your local accountant):

  • Your business name and address
  • Client name and address
  • Invoice number (sequential, never reused)
  • Issue date and due date
  • Description of goods or services
  • Unit price and quantity per line
  • Tax amount (VAT if registered) and tax rate
  • Total amount due
  • Payment terms and accepted methods

Quote vs invoice vs pro forma

  • Quote: estimated price before work begins. Not a legal demand for payment.
  • Invoice: request for payment after work is done. A legal document.
  • Pro forma invoice: an estimate formatted like an invoice, often required for international shipping or deposits.

VAT and tax considerations

VAT registration thresholds vary by country. In Cyprus, for example, the standard VAT rate is 19%. EU B2B sales between VAT-registered businesses typically use the reverse charge mechanism (no VAT on the invoice; the buyer self-accounts).

  • Logo and consistent branding — your invoice represents you
  • Clear item descriptions a non-jeweller can understand
  • Payment terms that encourage prompt payment ("Due on receipt" beats "Net 30" for small jobs)
  • Friendly thank-you line at the bottom — small touches matter

Digital vs paper invoices

Digital invoices have full legal status across the EU, provided they're delivered in a format the client can store (PDF is the universal standard). Sending the PDF attached to an email — rather than just text in the email body — preserves the record on both sides.
